FAQ

The 2024 Conference Week is about to start and you probably have a lot of questions. We have collected all the important information here. Is something missing? Then send us an email at konferenzwoche@leuphana.de.

During the conference week you can reach us at the Info Point in the foyer of the Central Building.

Login & Registration

What is the difference between the registration online and the registration at the conference?

By registering online, you can put together your individual conference programme between 19 and 26 February. Registration takes place via the online platform mystudy.leuphana.de. The registration at the conference, on the other hand, is the check-in for the conference itself and takes place on 28 February in the foyer of the Central Building (08:00 - 12:30). Both registrations are necessary for the course work.

What do I have to register for and where can I do it?

The course work for the conference week includes active participation in a total of nine events. Please register for only one event per time slot. You are responsible for ensuring that your events do not overlap. Multiple registrations per time slot will be deleted by the conference team if necessary. You can easily recognise time overlap in your individual timetable and therefore resolve them at short notice if necessary.

You can register via myStudy from 19 February:

  •  For your own presentation (as part of a project group session or the Gallery Walk).

  •  For the "seminar plenary" of your project seminar.

  •   For the obligatory opening ceremony. The final ceremony only if you know German. Choose one other events otherwise.

  •  For five other conference events of your choice.

By when do I have to have registered for my events at the conference at the latest?

The application procedure starts on 19 February. There will be a single-stage lottery procedure. So, you have no advantage if you send your registration on 19 February, 0:00 sharp. Please familiarise yourself with the registration rhythm. Your individual conference programme must be finished by 12:00 noon on 26 February at the latest. However, please bear in mind that the principle of "first come, first serve" applies during the final registration phase.

Registration rhythm on myStudy:

1. Lottery procedure: 19.02., 0:00 - 22.02., 23:59 (i.e., the draw will take place on 23.02. at 00:00)

2. First come, first serve: 23.02., 0:00 - 26.2., 12:00

What happens if I do not register correctly via mystudy.leuphana.de?

You are responsible for your own registration on myStudy. If you do not register for a total of nine events (or for overlapping events), we will assume that you do not wish to complete the course work. Please make sure you have your matriculation number and a valid email address where you can actually be reached.

If you have any problems, please contact: konferenzwoche@leuphana.de

How does registration work and where will it take place?

Check-in will take place on Wednesday, 28 February between 08:00 and 12:30 in the foyer of the Central Building. You are successfully registered when you have entered your signature in the participation list and have equipped yourself with the official name badge. Please bring your identity card and student ID with you.

Check-out is scheduled for 01 March from 17:30, in the central building, following the closing ceremony. Please return your name badge - so please take care not to lose it during the conference.

Can I register for more than nine events in total?

We'd love to - as long as you don't register for several events taking place at the same time. And: We assume that you will also participate in these events. If you spontaneously decide not to attend, please cancel your registration for the additional events.

The other way round: Can I also participate in events for which I have not registered?

You are also welcome to do this if there are still spots available. Please remember that spontaneous participation in these without registration on myStudy does not replace participation in the nine events for which you have registered.

In other words, whether you participate in nine or more events, it is always good if registration and actual participation match.

Is there a pre-election right for events?

We grant all students who care for children or other people a right of first choice in elective courses. Please put together your conference programme on myStudy so that it fits your life situation. If you have any questions or problems, please contact us at konferenzwoche@leuphana.de.

Participation & Control

Is attendance monitored?

As a general rule, we assume that you will attend nine conference events on your own responsibility. Attendance is only checked in the conference events if the numbers of people registered and those actually attending differ. During your presentation (examination/Prüfungsleistung) and the seminar plenary as part of your project seminar (course work/Studienleistung), the lecturers always keep an attendance list.

What happens if I am not on site during an attendance check?

The module team then distinguishes between two cases:

  1. You have a good reason (such as illness, birth or similar). In this case, you will be given the opportunity to provide a written substitute assessment of up to 12 pages of text (in case you are absent on all three days). If you are unable to give the presentation, please also arrange an individual repeat date for the presentation with your lecturer.

  2. If you do not have a good reason, you will endanger the entire course work. A substitute assessment is not provided for this case, therefore, the responsibility module cannot be completed in the winter semester. If you miss your presentation without a good reason (illness or similar), you cannot successfully complete the module in this semester.

What do I do if I cannot attend the conference for health reasons?

Please submit a medical certificate (Attest) to the module coordinator immediately:

Leuphana University Lüneburg
Ms Leonie Schmitt
Universitätsallee 1 - UC 8.103b
21335 Lüneburg

Please inform your project group and your seminar leader as early as possible. Those who miss the conference for health reasons will be given the opportunity,

  1. to make up for the presentation as part of the examination. Please arrange an individual alternative date with your seminar leader

    AND

  2. to provide a written substitute assessment to compensate for the missed participation at the conference. The substitute assessment consists of up to 12 pages of text in which you critically and scientifically deal with a topic related to the module and the topic of the conference week, which you can choose independently in consultation with the module coordinator. Please make sure to coordinate the topic of your substitute assessment in advance with the module coordinator by e-mail: verantwortung@leuphana.de

The substitute written work is not allowed to be the same as the regular project report or any other written work (not even in excerpts). It should refer to (scientific) sources and show that you have intensively dealt with the topic. The paper must be finished by 15.03. at the latest and submitted as a PDF to verantwortung@leuphana.de. The module coordination will check the appropriateness of the substitute work. Like participation at the conference week itself (course work/Studienleistung), this won’t be graded. Only if the paper has been accepted as an equivalent substitute for conference participation, you can receive a grade for the module and complete it.

Examination and course work at the conference week

Examination (Prüfungsleistung) = course work (Studienleistung)?

Examinations AND course work accompany you throughout your studies.

Important: They are not identical. In order to successfully complete the responsibility module, both the course work and the examination must be completed. From a formal point of view, the course work in the responsibility module is only the prerequisite for being admitted to the examination. It is therefore a necessary condition for successfully passing the module. Hence, course work is not graded. Examination, on the other hand, includes grading. The grade for the entire module is part of the Bachelor's degree certificate.

Now what? Is the conference week an examination or a course work?

(1)  Active participation in seven events of the conference week (including the opening and closing events if you understand German) is a course work (= course work/Studienleistung part 1).

(2)  Participation in the seminar plenary of your own project seminar during the conference week is an additional course work (= course work/Studienleistung part 2).

(3)  Your own presentation in the context of a project group session OR the Gallery Walk is an oral examination (Prüfungsleistung). The written part of the examination is done later via the project report (in addition, the assignments of the exercises are a third examination element).

The conference week therefore includes course work (ungraded) AND examination (graded). Consequently, you should actively participate in a total of nine conference events (including: the opening and the closing event (if you speak German, otherwise two different events), the seminar plenary, and your own presentation).

How do I have my exam at the conference week?

With your project group, you have already decided on a format for your presentation - either the Project Group Session or the Gallery Walk.

Do I have to register for the conference week at QIS?

No - by registering at QIS for the examination in the module, the part of the examination that takes place at the conference (i.e. the presentation) is thereby covered.

Project group session

How does the project group session work?

Two to three project groups from your own seminar meet with two to three groups from another project seminar to present each other's initial research results. Each group has 30 minutes (no more!) for presentation and discussion. The duration of the session depends on the number of project groups. The seminar leaders are there as examiners and determine the breaks within the session. The project group session is open to the public.

How do I find out which project groups belong to my project group session?

There is a detailed programme of the project group sessions on our website. All project group sessions will take place in the morning.

How do I know which room I am presenting in?

The programme of the project group sessions will inform you about this.

Since rooms may be changed at short notice, please check at myStudy on the day of your own session.

Can I also attend project group sessions of other project groups?

Absolutely. As part of your nine events, you may also register for additional sessions via myStudy besides your own presentation.

How flexible are we in terms of time managements for the presentations?

A group presentation should not exceed 30 minutes in total, and there should be enough time for the discussion – allow about one third of the time for this; it is part of your presentation and will be evaluated accordingly – and prepare the discussion well: What questions do you want to ask, who should do moderation, etc.? There is nothing wrong with the presentation itself being interactive as well. If in doubt, consult your seminar leaders – they have the last word on examination questions.

What criteria will be used to evaluate the presentations at the conference week?

Your seminar leader has the final say on examination questions. If necessary, ask them in advance about possible criteria.

Gallery Walk

What can I expect from the Gallery Walk?

The Gallery Walk transforms the foyer of the Central Building into a scientific exhibition on shaping society's future. In addition to people spontaneously joining, there will be guided tours that take a deeper look at the individual presentations.

The project groups will have the opportunity to present their own research results by having an exhibition booth, and to engage directly with the conference audience. IMPORTANT: The examination is usually taken by the lecturers as part of a guided tour.

For all project groups presenting at the Gallery Walk, an important information sheet is available for download at the top of our programm site.

Where will the Gallery Walk take place?

In the foyer of the Central Building. In addition, there will be exciting exhibitions in the auditorium corridor (Hörsaalgang) on Thursday, which are also part of the Gallery Walk.

How do I find out in which time slot my project group is at the exhibition?

You will find the programme for the Gallery Walk on our website by 19 February at the latest. You will also find the time slot for your exhibition there. Your seminar leader will assess your group during the exhibition. To ensure that all participants are actually on site during the examination, please check with your seminar leader in advance on the Gallery Walk Tour the examination will take place (we will propose a time slot to your seminar leaders in the week before the conference).

Can I also register for the Gallery Walk as a visitor?

Yes. Part of the concept of the Gallery Walk are guided tours. The aim is to have an intensive exchange with the exhibitors. You can register for these 60-minute tours via myStudy. The procedure for registering for individual tours as a visitor is the same as for other conference events. In this case, each tour counts as one event of your course work (please register as a visitor, i.e., for participation in a single tour, not via "Gallery Walk - for exhibitors only/nur für Aussteller*innen"). Independently of any registration, the Gallery Walk also invites you to take tours on your own.

As an exhibitor at the Gallery Walk, can I also take part in nine events?

Yes, the exhibition at the Gallery Walk already counts as one registered event.

Do I also register for my exhibition at the Gallery Walk?

The exhibition is part of your individual conference programme as part of your examination. Therefore, please be sure to register for your exhibition via myStudy as well.

We have set up a separate module on myStudy for registering for your own exhibition: "Gallery Walk - for exhibitors only/nur für Aussteller*innen". Please register there (and only there) for your exhibition as part of your examination. For example, if you are exhibiting at the Gallery Walk on Thursday from 11:00 to 13:00, register on myStudy via Thursday → Gallery Walk for exhibitors → Gallery Walk Block 2 [11:00 to 13:00]. You will find a general overview of your exhibition time slot from 21 February onwards on the website under Programme → Seminar Overview.

Material & Technique

How do we as a project group get the requested materials and technical equipment?

For the project group session and the seminar plenary applies:

Registered materials and technical equipment confirmed by the conference team will be available for you at the info point in the foyer. Please pick up all materials and test them timely BEFORE the events so that the session or seminar plenary can start on time. An identity card is required for borrowing technical equipment. Please organise set-up and technical rehearsal on your own before the start of the event.

At the info point in the foyer of the Central Building, we will help you with technical problems and other concerns during the conference week. You can also reach us via the following number: 04131 677 2717.

For the Gallery Walk applies:

Technical equipment and materials are available for you at the info point in the foyer of the Central Building. An identity card is required for borrowing equipment. The briefings for the Gallery Walk will clarify all questions regarding the specific procedure.

If you have any problems, please contact the Info Point in the foyer of the Central Building at any time.

Can we buy food (coffee, pastries, etc.) for our presentation and pass the bill on to the university?

Unfortunately, the university does not cover food bills as a matter of principle.

If you have any questions regarding technical equipment, furniture and materials, please contact Ms Madelaine Stenger directly:
madelaine.stenger@leuphana.de

Other Questions

Can I invite my friends or relatives?

Yes, very much so.

In which language will the conference week be held?

There will be English- and German-language events. The seminar plenaries and the project group sessions (exams) will be held in the seminar language. The language in which an event takes place will always be indicated in the programme.
